Payment Schedule

Invoices are issued directly by Apex Digital Studios Limited and payment can be made through Stripe or Wise. Projects operate on either a full upfront payment or a 70/30 payment split. The final handover package will only be delivered once the remaining balance is paid in full.

Payment Options

Accepted payment methods are Stripe and Wise.

Reasonable Response Time

All estimated timelines assume reasonable response times from the client. The client is given two working days to respond to each round of work submitted. Responses that exceed this timeframe may extend the overall project duration. Apex Digital Studios will not be responsible for delays caused by slow or incomplete client feedback.

Maximum Response Time

If no response or explanation is received within 10 working days, the project will be paused and removed from the production queue. Two reminders will be issued within that 10-day period. Once paused, it becomes the client’s responsibility to restart the project, and a reactivation fee may apply.

Reactivation Fee

If a paused project remains inactive beyond 10 working days, Apex Digital Studios reserves the right to charge a reactivation fee of 200 USD to cover administrative and operational costs associated with restarting production.

Digital Rights

Once the project fee has been paid in full, all final delivered materials, including animation, voiceover, script, music, sound design, and visuals created specifically for the client, become the client’s property. Until payment is completed in full, all materials remain the intellectual property of Apex Digital Studios.

Digital Rights Exception – Stock Footage Videos

For videos that include licensed stock footage, source files cannot be provided due to licensing restrictions. Clients maintain full usage rights for the final rendered video worldwide, but Apex Digital Studios must retain the source project files.

Watermarked Video Material

All drafts will include a watermark to protect digital rights. The watermark will be removed only after final payment is received.

Communication Methods

Communication between Apex Digital Studios and the client may take place via email, scheduled calls, or video meetings. Written communication by email will serve as the official record for approvals and changes.

Project Scope

The scope of work, including revisions, timeline, production stages, and deliverables, is defined in the project documentation. The client agrees to collaborate to keep the project within the defined scope. Requests for additional work must be submitted by email. Apex Digital Studios will provide a quote for any additional work, which must be approved via email before production continues.

Video Length Extensions

Videos that extend beyond the purchased duration will incur additional charges at a pro rata rate. Scripts are crafted to fit the purchased time length. If the client requests longer scripts or additional runtime, additional fees will apply.

Revisions and Refunds

For standard packages, two revisions are offered at each stage (script, storyboard, animation). Additional revisions incur the following fees:

150 USD for voiceover revisions

150 USD for storyboard revisions

250 USD for animation revisions

For premium packages, unlimited revisions are offered at each stage under reasonable-use principles. If demands become excessive or unreasonable, Apex Digital Studios reserves the right to stop production and terminate the project. Refunds are no longer offered unless otherwise required by law.

Once the animation stage has been approved, no refunds will be issued. Storyboard approval confirms understanding and agreement with the final expected outcome.

Back-Tracking Revisions

Any request to revise a previously approved stage will incur additional costs. These costs must be agreed upon in writing before work proceeds.

Voiceover Terms

Apex Digital Studios uses third-party professional voiceover artists. Minor line changes and pronunciation adjustments are included. Full re-records due to tonal preference changes may incur additional fees unless the completed voiceover materially differs from the approved audition.

Rush-Fee Terms

Rush fees apply to custom projects with deadlines under 4 weeks from initial payment or template-based projects needing delivery within 2 weeks. Rush fees are 30 percent of the package price and require the client to provide feedback within 24 hours of each submission.

One Point of Contact

To streamline communication, the client must appoint a single point of contact for approvals and revisions.

Portfolio Use

Apex Digital Studios reserves the right to showcase completed work in portfolios, case studies, and marketing materials unless a written non-disclosure agreement is in place before production begins.

Agreement by Payment

This agreement becomes effective upon receipt of the first payment.

Contract Expiration

If a client purchases a video but does not begin or continue the project for more than 365 days, the contract will expire. To restart the project, the client must pay the current pricing. If the current pricing matches the original purchase price, a 350 USD reactivation fee will allow the project to continue.

This Refund Policy outlines the circumstances under which refunds may be considered for explainer video services.

General Refund Position

Apex Digital Studios Limited does not offer full refunds once meaningful work has begun. Our production process involves substantial creative labor, including scriptwriting, storyboarding, design, voiceover, and animation. Because these deliverables require significant time and professional resources, refunds are only available in limited circumstances as outlined below.

Refund Eligibility

A partial refund may be considered only if the project is terminated during the early stages of production and only for work not yet completed. Refund amounts are based strictly on the proportion of work that has been completed at the time of termination. This aligns with the compensation structure defined in our service agreements, where completed and approved stages are billable .

The following stages are considered billable once delivered:

Scriptwriting

Style frames or scene sketches

Storyboarding

Approved animation work

Once any stage has been completed and approved by the client, that portion of the project is non refundable.

No Refunds After Storyboard Approval

Storyboard approval confirms that the client has reviewed and agreed to the structure, narrative flow, visual direction, and core design of the final video. Because animation is based directly on storyboard approval and is resource intensive, no refunds will be issued after storyboard approval. This is consistent with the principles in your contract with Thomas Kelly, where completion up to storyboarding is billable and animation becomes the final phase .

No Refunds After Animation Has Begun

Once animation work has started, the project becomes fully non refundable. Animation represents the most labor intensive stage and is explicitly protected from refunds after approval of prior stages.

Refunds Related to Voiceovers

If the voiceover differs materially from the approved audition in tone or delivery, Apex Digital Studios will re record at no charge. Refunds are not issued for voiceover preference changes.

Exceptional Circumstances

In rare cases where Apex Digital Studios chooses to terminate a project due to unreasonable or abusive client demands (as permitted under your Premium Package terms), a partial refund may be issued at our discretion for work not completed. This is not a guaranteed right and is assessed case by case.

Production Stages

Each explainer video is produced through the following sequential stages:

  1. Scriptwriting
  2. Scene sketches or style frames
  3. Storyboarding
  4. Voiceover
  5. Animation
  6. Sound design and final render

The workflow follows the same structure outlined in your service contract for clients such as Thomas Kelly, where the video is delivered only after sequential approvals .

Delivery Format

All final videos are delivered in MP4 format (1080p or 4K). Clients receive a downloadable link to the final file via email or cloud transfer.

Delivery Timeline

Estimated timelines are provided at the beginning of each project. These timelines depend on:

Client response time

Number of revisions

Project complexity

Script length and animation requirements

This mirrors the timeline model in the Statement of Work where delivery depends on revision volume and prompt client responses .

Client Response Requirements

Clients are expected to provide feedback within two working days for each stage. Delays beyond this timeframe will extend the overall project timeline. If no response is received for 10 working days, the project will be paused and removed from the production queue.

A reactivation fee may apply for restarting paused projects.

Delivery of Final Files

Final handover occurs only after complete payment is received. Prior to final payment, all video drafts include a watermark to protect digital rights. Once payment is cleared, the watermark is removed and the final files are delivered.

Delivery Completion

A project is considered delivered and complete once:

The client approves the final animation

The final file is sent

The deliverable matches the specifications approved in the script, sketches, and storyboard stages
